How to Manage Membership Invoices and Subscriptions?


The Membership Plans module allows merchants to manage both the invoices and subscriptions tied to customer memberships. You can easily track subscription statuses, view associated invoices, and ensure recurring payments are being processed. This guide will help you navigate the management of memberships, including viewing detailed membership data.

Step 1: Viewing and Managing Subscriptions

  1. Access Manage Subscriptions:

    • Go to the Recurring Billing section in RepairDesk.
    • From here, you can view all active, paused, or canceled membership subscriptions.
  2. Subscription Details:

    • In the subscription listing, you’ll find columns for Plan Name, Customer, and Status.
    • Clicking on the View button next to any subscription will take you to the detailed view, showing the specific membership plan, devices attached (with IMEI/Serial numbers if applicable), billing cycle, and subscription start/end dates.
  3. Filtering by Plan or Device:

    • You can filter subscriptions based on Membership Plan or specific devices by entering the IMEI/Serial number in the filter bar.
    • This allows you to easily find subscriptions linked to a specific device or plan.


Step 2: Managing Invoices for Memberships

  1. View Recurring Invoices:

    • In the Recurring Invoices section, you can view all invoices generated for membership subscriptions.
    • Each invoice lists the membership plan name, the billing amount, and the payment status (Paid/Unpaid).
  2. Invoice Actions:

    • You can perform actions such as viewing, emailing, or printing invoices.
    • For overdue or unpaid invoices, you can manually resend payment reminders to customers.
  3. Automatic Invoice Generation:

    • Invoices are automatically generated based on the billing cycle configured for each membership plan (e.g., monthly, yearly). These invoices will continue to generate as long as the subscription is active.



Step 3: Viewing Membership Details for Customers

Membership Overview Popup:

  • When a customer is added at the POS, the system will display a membership details popup showing their current membership information:
    • Plan Name: The name of the membership plan.
    • Subscription Date: When the customer first subscribed.
    • Devices Covered: A list of devices attached to the membership, along with their IMEI/Serial numbers.
    • Subscription Invoices: A list of recent invoices, showing whether they are paid or unpaid.
    • Membership Status: The current status of the membership (active, paused, or canceled).

Manage Customer Module:

  • You can also view a customer’s active membership plan and subscription details in the Manage Customer module.
  • Under the membership section, you will see the Plan Name and a clickable link to the subscription details page, where you can view all invoices and devices covered under the membership.



Step 5: Reporting on Membership Sales and Subscriptions

Sales by Item Type Report:

  • Membership plans are included in the Sales by Item Type report. You can filter this report to see the total sales for membership plans, giving you an overview of how much revenue is being generated through memberships.
  • The report will show the membership plan name, the number of subscriptions sold, and the total income from these sales.

  1. How do I view all active membership subscriptions?

    • You can view all active, paused, or canceled memberships by navigating to the Recurring Billing section and selecting Recurring Subscriptions. From there, you can filter subscriptions by plan or device using IMEI/Serial numbers.
  2. What happens if a membership payment fails?

    • If a membership payment fails, the system will automatically retry the payment up to three more times at set intervals (1, 3, and 5 days after each failed attempt). If all retries fail, the subscription will be canceled, and the customer will be notified.
  3. Can I manually resend an invoice for a membership plan?

    • Yes, in the Recurring Invoices section, you can view all invoices for membership plans and choose to manually resend payment reminders for unpaid invoices to customers.
  4. Where can I see the devices attached to a customer’s membership plan?

    • You can view devices associated with a membership in the Membership Details popup when a customer is added at POS, or in the Manage Customer section under the subscription details. The device name and IMEI/Serial number will be listed if they were entered during checkout.
