Performing Inventory Counts in RepairDesk

As a repair store owner, keeping your inventory accurate is crucial, but manually tracking stock levels can be time-consuming and prone to errors. Ensure precise stock management by performing regular inventory counts using RepairDesk’s Inventory Count feature. Update stock levels, prevent shortages, and spot discrepancies effortlessly—all from a centralized system.

Accessing Inventory Count

To begin an inventory count, navigate to the Inventory Count section in RepairDesk.

    The Inventory Count Dashboard categorizes counts into:

  • Paused – Counts that are in progress and can be resumed later.
  • Counted – Completed inventory counts that cannot be modified.

    Sorting and Filtering Inventory Counts

    You can filter and sort inventory counts based on:

  • Count ID
  • Store Location
  • Employee who performed the count
  • Item Name
  • Status (Paused or Counted)
  • From and To Dates

    Starting a New Inventory Count

  • Click New Inventory Count to initiate a new count.

    Adding Items to the Inventory Count List

  • Click Add to Inventory Count List after selecting the necessary filters.
  • Select the employee responsible and name the count for record-keeping.
  • Use filters to refine the inventory list based on:
    • Categories
    • Manufacturers
    • Devices
  • The system displays the Expected Quantity (stock recorded in RepairDesk).
  • Enter the Counted Quantity (physically verified stock) for each item.

    Updating Inventory Stock Levels

  • Enable the trigger Update Inventory Level to adjust stock levels based on counted quantities.

    How can I download the Inventory Count report?
    Click on the Action button next to a completed Inventory Count and select Export as PDF or Export as CSV to download the report in the desired format.
    Why cannot I delete or update a Counted inventory count whereas I can delete or update a Paused inventory count?
    Paused Inventory Count can be updated and deleted because it is still in process and is incomplete.. However, those inventory counts which have the status of Counted have been completed and cannot be deleted or updated. These can only be viewed as these counts are completed in order to stop already finished inventory count from being tampered or manipulated and its record can be referred back to in the future.
    How can I count serialized inventory using the Inventory Count module?

    To enable serialized inventory counting:

    1. Go to Settings > Module Configuration > Inventory Count Tab.
    2. Enable the trigger for Serialized Inventory Count.

    Once enabled:

    • Serialized items will be available for counting.
    • If a serial number is not counted, it will be marked as lost and cannot be used in sales transactions.

    To count serialized items:

    1. Add serialized items to the Inventory Count list.
    2. Click Count Serials.
    3. Manually enter or scan barcodes for serials.

    1. Any uncounted serial numbers will be automatically marked as lost.
    2. Counted serials will be shown on the right side of the popup.

    Note: If user doesn't count serials then they will be marked as Lost.
    Where can I view lost serials?
    Lost serials can be found in Manage Inventory, where items marked as lost are listed separately.
    How can I input a price for inventory increases during a count?

    If inventory increases during counting, you can manually input the price for new stock. To enable this:

    1. Go to Settings > Module Configuration > Inventory Count.
    2. Enable the trigger to allow price input for added stock.
    Can I hide the default counted values for serials?
    Yes, you can enable the Hide Default Count for Serials trigger under Settings > Module Configuration > Inventory Count. This ensures employees manually enter each count instead of relying on pre-filled expected values.
    How can I count Trade in Items under Inventory Count Module?
    You can count trade-in items under the Inventory Count Module by enabling the Allow Inventory Count for Trade-In trigger in settings. Once enabled, trade-in items appear in the category field, allowing you to add and scan them. Lost trade-in items are marked in red and can be restored from the Trade-In Listing Page. You can also track lost items through the Trade-In Report.
